1. Experience and qualifications
Ask who will handle your accounts and whether they have experience with JDG or sp. z o.o. businesses in your sector. Training and certificates help establish competence, but do not replace checking practical experience and any authorisation required for particular services.
2. Scope of service
Check whether bookkeeping, VAT/JPK, PIT/CIT, ZUS, payroll and annual reporting are included. “Full service” does not mean every task is covered by the monthly fee. Obtain a written list of included services and exclusions.
3. Contract and responsibility
Review each party’s duties, document deadlines, correction procedures and termination terms. Ask for current professional indemnity insurance where applicable to the services, and check the coverage limits and exclusions.
4. Transparent fees
Compare equivalent service packages. Clarify what counts as a document or accounting entry, whether prices include VAT, and the fees for payroll, annual reporting, corrections and taking over the accounts. Request a calculation based on your expected workload.
5. Documents and security
Ask for a demonstration of invoice, bank statement and contract submission. Check access permissions, backups and how you can obtain your archive. Do not share personal passwords or one-time codes; use the appropriate formal authorisations.
6. Communication
Agree on the working language, contact channels, response times and cover during absence. Ask how urgent issues are handled. Clear explanations matter alongside accurate processing of Polish documents.
7. Handover and references
Before switching firms, agree on the start date and the transfer of records, returns, balances and outstanding matters. Verify the business in official registers. Ask about relevant experience without requesting confidential information about other clients.
